To add basic page numbers:

  1. Open the Add page numbers tool.

  5. Under Which pages get a number?, choose All pages or Pages I choose.

This workflow is for number-only labels. It can create ordinary Arabic numerals, but not custom formats such as Roman numerals, chapter-based labels, or text before or after the number. Set up formats such as “Page 1 of 10” in Word or another source editor before making the PDF.

If the PDF is password-protected, enter the file password when asked so the preview can be prepared. If your page selection contains no valid pages, the tool indicates that no page in the range would get a number.

Where should page numbers go in a PDF?

The best placement is visible but does not compete with content. Bottom center works well for many reports. Bottom outside corners are often more practical for booklets and documents printed on both sides.

Choose a Small, Recommended, or Large margin to keep the number away from the edge. This is especially important for printed PDFs, where printers may not print close to the paper edge. The preview also shows the distance from the edge in points.

Choose the layout according to how readers will view or print the file:

  1. Select Single pages to keep the number in the same position on every page.
  2. Select Facing pages (book) for a document printed two-up or read as facing pages.
  3. For facing pages, choose the position for odd pages. Even-page numbers move to the opposite edge automatically.
  4. Review at least one odd page and one even page in the preview before creating the numbered PDF.

The dashed frame in the preview is a positioning guide only. It marks where the number will be placed and is not printed.

How do you skip the cover but start page 2 at 1?

A cover can be the first physical PDF page while the first visible number appears on the next page. Physical page order and displayed numbering are separate settings.

Set up an unnumbered cover like this:

  1. Add the PDF using Select PDF files.
  2. Under Which pages get a number?, choose Pages I choose, not All pages.
  3. In Pages to number, enter a range beginning with PDF page 2. For example, for a 20-page PDF, select pages 2-20.
  4. Under Numbering, set First number to 1.
  5. Choose the layout, position, and margin.
  6. Use the preview to check that PDF page 1 has no number, PDF page 2 reads 1, and PDF page 3 reads 2.
  7. Select Add page numbers.

The same approach works for a back cover, divider sheets, or inserted pages that should have no visible label. Select only the pages that should display numbers, then set the value of the first selected page.

When multiple PDFs are added directly to the numbering tool, the range applies to each file separately. Check the selected range and starting value for every file rather than assuming they apply across all files as one document.

Can you add Roman numerals or “Page 1 of 10” to a PDF?

Not with a number-only post-export tool. The Add page numbers tool is suitable for 1, 2, 3 and similar numeric sequences, but it does not create i, ii, iii or wording such as “Page 1 of 10.” Those layouts require page-number fields and section controls in the document editor.

For “Page 1 of 10,” use Word’s header or footer fields for the current page number and total page count, with “Page” and “of” typed around them. Export through File > Save As or Export > Create PDF/XPS, depending on your Word version. Check the PDF afterward because section breaks, different-first-page settings, and landscape pages can affect headers and footers.

Is it better to number pages in Word or after exporting to PDF?

Post-export numbering is usually quickest for a finalized PDF that needs a simple sequence. Number in Word before export when revisions are expected or when the page number must follow a particular section, format, or header/footer design.

In either case, inspect the finished PDF at normal reading size. Pay close attention to title pages, section boundaries, landscape pages, footnotes, and pages that already contain footer material. A number that appears clear in a thumbnail can overlap content in the full page view.

How do you add continuous page numbers to several PDF files?

If separate files must become one document with a single continuous sequence, merge them before numbering. Adding several files directly to the numbering tool causes numbering to restart in every file.

To create one sequence across several source files:

  1. Open Merge PDF.
  2. Select Select PDFs or images and add the source files. You can also drop or paste files.
